How to Sign a Rental Agreement Online

Signing a rental agreement online can be faster than printing, scanning, and emailing paper. The correct method depends on the landlord's instructions, local law, the type of tenancy, and whether the parties need identity verification or an audit trail.

Confirm the accepted signing method

Before editing the agreement, ask the landlord, agent, or property manager:

  • May the agreement be signed as an ordinary PDF?
  • Must it be completed through a named signing platform?
  • Does every tenant need to sign separately?
  • Are witnesses required?
  • Must specific pages or clauses be initialled?
  • Is a certificate-based digital signature required?
  • How should the completed document be returned?

Electronic-signature rules vary by location and document type. This guide explains the practical PDF workflow, not whether a particular agreement is legally valid in your jurisdiction.

Verify the agreement before signing

Do not sign immediately after downloading the file. Review:

  • Names of all parties.
  • Property address.
  • Start and end dates.
  • Rent amount and payment schedule.
  • Deposit amount and handling.
  • Notice periods.
  • Utilities and service charges.
  • Repair and maintenance responsibilities.
  • Inventory or condition-report references.
  • Special clauses.
  • Signature and witness sections.

Ask for corrections before signing. Do not use a white box or new text to silently change contract terms unless all parties have agreed to the correction and the method of documenting it.

Keep the original file as evidence of the version you received.

Open the rental agreement

To use Docento:

  1. Open Docento.app.
  2. Select the rental-agreement PDF.
  3. Wait for every page to load.
  4. Compare the displayed document with the original.

Editing happens in your browser, and the PDF is not uploaded to Docento for processing. The completed copy will be downloaded to your device when you export it.

Add initials where required

Some agreements ask tenants and landlords to initial each page or specific clauses.

In the signature dialog, create compact initials using Draw, Type, or Upload. Select the saved initials and place them manually at each required location.

Docento does not automatically stamp every page. Manual placement helps you verify each clause and prevents initials from appearing where they were not requested.

Create and place your signature

Choose Sign and add a signature in one of three ways:

  • Draw: Use a mouse, trackpad, touchscreen, or stylus.
  • Type: Enter your name and select a signature-style font.
  • Upload: Select an existing signature image.

Then:

  1. Choose the saved signature.
  2. Click or tap inside your signature field.
  3. Resize it to fit naturally.
  4. Make sure it does not cover your printed name or date.

Add printed name and date

Use the text tool for any field that remains blank:

  1. Select Text.
  2. Click the printed-name field.
  3. Replace the placeholder with your full legal name as required by the agreement.
  4. Repeat for the signing date and other requested text fields.

Use an unambiguous date format when the agreement does not specify one, for example 14 July 2026.

Do not fill fields intended for the landlord, agent, witness, or another tenant.

Use ticks and crosses carefully

The stamp tool can add a tick or cross to a choice. Read the question and make sure only the intended option is marked.

If the PDF contains real interactive checkboxes, adding a visual tick is not the same as changing the form field's stored value. The visual mark may be sufficient for a flattened return copy, but follow the sender's requested process.

Review the entire document

Before export, check every page:

  • Your signature is in the correct field.
  • Required initials are present.
  • Names and dates are correct.
  • No mark covers contract text.
  • Fields for other parties remain untouched.
  • No page is missing.
  • You are signing the agreed version.

If several tenants must sign the same PDF, agree on a controlled sequence. Each person should review the latest copy, add only their information, export a new version, and avoid making unrelated changes.

Export and preserve the final copy

Select Export, download the completed PDF, and open it again.

Use a clear filename such as:

rental-agreement-12-example-street-signed.pdf

After all parties have signed:

  • Keep the fully executed version, not only your intermediate copy.
  • Save it in a secure location with reliable backup.
  • Record when and how it was returned.
  • Keep related inventory, deposit, and condition documents together.

Do not rely only on an email thread or messaging attachment as your long-term copy.

When to use a dedicated e-signature platform

Use the platform chosen by the landlord or a suitable dedicated service when the process requires:

  • Identity verification.
  • Signer authentication.
  • Trusted timestamps.
  • A detailed audit trail.
  • Tamper-evident completion certificates.
  • Sequential signing by several parties.
  • Witness workflows.
  • Compliance with specific local rules.

A visible signature placed with Docento does not provide those features. It is a practical PDF annotation and export workflow.

Privacy and fraud checks

Rental agreements contain addresses, signatures, contact details, and financial information.

  • Verify that the property and sender are genuine before providing personal documents or money.
  • Confirm email addresses carefully.
  • Do not sign a blank or incomplete agreement.
  • Avoid sending the raw signature image.
  • Use secure channels agreed by the parties.
  • Delete saved signatures from shared browsers.
  • Keep evidence of the listing, communications, and final agreement.

If anything appears suspicious, pause and verify through an independent contact method.
