How to Prepare PDFs for a Visa Application Upload

Most visa applications now happen online, and most of them involve uploading documents: passport pages, photos, bank statements, employment letters, invitations, travel bookings. Online visa portals are notoriously strict about file types, sizes and legibility, and a rejected upload can mean delays or a refusal. Here is how to prepare your PDFs so they go through cleanly.

Read the document checklist line by line

Each country and visa type has its own list, published on the official government or embassy site. Use only official sources, and note for each document:

  • Whether it must be a colour scan.
  • The maximum file size and accepted formats.
  • Whether pages should be combined into one file.
  • Whether a certified translation is required for documents not in the official language.

When in doubt, follow the most specific instruction for that document, not general advice from elsewhere.

Scan, do not photograph

A photo taken at an angle with shadows is the most common reason for an unreadable upload. Use a scanner or a phone scanner app that flattens and crops the page. See scanning documents with your phone.

For passports, scan the photo page with all four corners visible and no glare across the machine-readable lines at the bottom.

Use a sensible resolution

Combine multi-page documents

Compress to meet size limits

Do not edit the content
