Google has built Gemini into Drive, Gmail and Chrome. Open a PDF in Google Drive and a Gemini panel can summarise it, answer questions, and pull out key points. Here is how to use it well.
What you can do
- Summarise a PDF in the Drive viewer with one click.
- Ask questions: "What is the cancellation policy?", "List all deadlines with their dates."
- Ask across files: in the Drive side panel, Gemini can draw on several documents in your Drive, for example "Summarise the last three board reports."
- Draft from a PDF: turn a PDF's content into an email or a Docs outline.
Availability depends on your plan. Google Workspace business plans include Gemini features controlled by your admin; personal accounts get features through Google's AI subscriptions. Google changes names and features often, so menus may differ.
What it handles well
- Reports, articles, policies and long text-based PDFs.
- Finding specific clauses and dates.
- Summarising meeting packs or research papers for a quick overview.
Where it struggles
- Scanned PDFs with poor OCR.
- Complex tables with merged cells or tables spanning pages.
- Exact numbers in long financial documents. Always check figures against the page.
- Very large files, which may exceed processing limits.
Ask Gemini to quote the relevant passage, and check it. See prompt engineering for PDF tasks.
Privacy
For Google Workspace business and education accounts, Google states that content is not used to train its models outside your organisation without permission, and admins control access. For personal accounts, review Gemini Apps Activity settings to control whether conversations are stored and reviewed.
Practical rule: if your organisation has approved Gemini for Workspace, it is fine for internal documents within that policy. For highly sensitive documents, or on personal accounts, think twice. See AI assistants in PDF readers: privacy settings.
Preparing PDFs for better answers
- Run OCR on scans before uploading. See how to make a PDF searchable.
- Split very long documents into sections. See preparing long PDFs for AI chat.
- Use clear file names so cross-file questions find the right documents.
What Gemini does not do
Gemini reads and writes about PDFs; it does not edit them. To sign, fill, merge, reorder or redact a PDF from Drive, download it and use an editor. A browser tool like Docento.app does these locally, then you upload the result back to Drive. See using PDFs with Google Drive.
Takeaway
Gemini in Drive is a fast way to understand long PDFs and find details across your files. Check exact figures, prepare scans with OCR, and follow your organisation's policy for sensitive documents. For Microsoft's equivalent, see Copilot and PDFs in OneDrive.
