How to Make a Printable Gift Certificate as a PDF

Gift certificates sell well from November to January, for salons, cafés, tutors, studios, shops and anyone with a service people like to give. A printable PDF certificate is cheap to produce, easy to email, and works whether the buyer prints it or shows it on a phone. Here is how to make one that looks professional and protects you from misuse.

What a gift certificate must include

  1. Your business name and logo.
  2. The value or the service, such as "50 euros" or "One 60-minute massage".
  3. A unique certificate number.
  4. An expiry date, if local law allows one.
  5. Terms: how to redeem, whether it can be exchanged for cash, whether partial use is allowed.
  6. Contact details for booking or questions.
  7. Space for "To" and "From", so it feels like a gift.

Rules on gift card expiry and fees differ between countries and states. In the US, for example, federal rules set minimum expiry periods for many gift cards. Check what applies to you before printing an expiry date.

Layout tips

  • Use a landscape page sized like a long envelope or a third of an A4 or letter sheet, so three fit on one page.
  • Keep it simple. A logo, the value in large type, a short line of terms and a border looks better than a busy design.
  • Leave white space for handwritten names.

Create it from a template

Number every certificate

A unique number on each certificate, recorded in a simple spreadsheet with the buyer, value, date and redemption status, is your main protection against copies. A PDF can be printed many times; the number can only be redeemed once.
